Protecting Your Australia Application When Using a Consultancy

Updated 23 July 2026 · Published 29 September 2023

An education consultancy can help organise an Australian study application, but the student remains responsible for its accuracy. Control your accounts, review every form and keep complete records from the first course enquiry to enrolment.

Define the service before sharing documents

Students may need different levels of support:

  • choosing a country, subject or qualification;
  • comparing institutions and total costs;
  • understanding entry and English requirements;
  • preparing applications and certified documents;
  • reviewing offers and scholarship conditions;
  • organising visa-stage evidence;
  • planning accommodation and departure.

Ask the consultancy to define its role and fees in writing. Some students need a complete process; others only need a review of a shortlist or application.

Test the quality of counselling

A useful counsellor asks about your full profile before recommending a destination. Expect questions about academic history, goals, finances, language readiness, family circumstances, previous refusals and study gaps.

The recommendation should explain:

  • why the course is a logical next step;
  • which alternatives were considered;
  • how the full cost will be funded;
  • which requirements are confirmed and which remain uncertain;
  • what decision belongs to the institution or government authority.

Be cautious if every student is directed to the same course or if the recommendation changes mainly according to a promotion.

Verify authorisation and information

Check whether the education provider lists the consultancy as an authorised agent for your country. Verify course, fee and application claims on official provider and government websites.

Study Australia advises students to use an agent supported by the intended provider, compare agents, understand charges and insist on receipts. Its official application guidance also states that education agents cannot guarantee permanent visas or post-graduation work.

Keep control of your application

You should:

  1. use an email address and phone number you can access;
  2. review every form and statement before submission;
  3. keep copies of applications, uploads, receipts and correspondence;
  4. know which institutions receive your documents;
  5. refuse any request to change or invent information;
  6. avoid sharing one-time codes or account passwords unnecessarily.

Ask how personal information is stored, who can access it and when copies are deleted. Passports, financial records and academic documents deserve careful handling.

Compare fees and conflicts

Request a written breakdown of student-paid fees, services included and refund conditions. Also ask whether the institution pays the consultancy a commission. This relationship should be disclosed so you can assess the recommendation.

A responsible consultancy should acknowledge when a suitable option falls outside its partner network.

Application record checklist

Keep copies of:

  • the course page and CRICOS record used for the decision;
  • the submitted university application;
  • supporting documents and certified translations;
  • offer, scholarship and refund terms;
  • invoices, receipts and payment confirmations;
  • Confirmation of Enrolment;
  • the submitted visa application and attachments.
